Over the years, the directors have shown a dedication to hosting a convention that is safe and inclusive to all our attendees. With the spread of COVID and the Delta variant, we are updating our health and safety protocols to continue to keep that commitment. With cases increasing throughout the state and country, including “breakthrough” infections of vaccinated individuals, we are instituting new protocols for our first live convention since 2019. All attendees who attend the live convention must show proof of vaccination or a negative COVID test taken within 72 hours of arrival before entering the convention. Below there is a FAQ addressing questions you may have including details around the mask mandate and anticipated questions with this announcement. We encourage you to take the time to review each of these to help you prepare for MEPACON Fall 2021. The directors and volunteers would like to thank everyone for your patience as we worked through these details. Our community is what makes MEPACON such an amazing event. We know that you care for your fellow attendees, and that you will follow the rules because it is the right thing to do. We trust you to make good decisions and look forward to welcoming you.

Policy

Vaccination and Testing

  • All attendees must show proof of vaccination or a negative COVID test taken within 72 hours of arrival before entering the convention.
  • Proof will be verified at time of the attendee check-in.

Mask Mandate

  • Appropriate face masks will be required at all times inside convention venues regardless of vaccination status, in keeping with the updated CDC guidelines.

FAQ

What do I need to provide to show proof of vaccination?

For our attendees 18 years and older, proof of vaccination can be shown either on a smartphone or through a physical copy of the vaccination card, along with an appropriate ID matching the name on the documentation. This will need to be shown when picking up your badge.

Any adult who purchased their children’s badge is authorized to show a proof of vaccination on their child’s behalf and pick up their badge.

What do I need to provide to show proof of a negative COVID-19 test?

If you are not vaccinated, if you are a minor under the age of 12, or if you choose not to show proof of vaccination, you will need to provide proof of a negative COVID-19 test, taken within 72 hours, to pick up your badge.

Any adult who purchased their child’s badge is authorized to show a negative covid test on their child’s behalf and pick up their badge.

I will receive my last shot days before arriving. Do I just need proof of vaccination?

Unfortunately, the CDC guidelines indicate that full vaccination is only achieved 2 weeks after your final shot. With this, you would need to have a negative COVID test to receive your badge.

Can I use a self-test (sometimes referred to as a home test)?

CDC guidelines recommend that you can use a self-test (sometimes referred to as a home test) that meets the following criteria:

  • The test must be a SARS-CoV-2 viral test (nucleic acid amplification test [NAAT] or antigen test).
  • A report that includes:

    § Type of test (indicating it is a NAAT or antigen test)

    § Specimen collection date. A negative test result must show the specimen was collected within the 3 days before the badge pick up.

    § Test Result

  • The report can be shown through a smartphone or a physical copy.

How will the mask mandate be enforced?

We expect attendees to do the right thing and wear their mask. MEPACON volunteers will be working to ensure that the mandate is followed.

What type of masks are permitted?

Masks should adhere to the recommendations of the CDC.

I am not able to wear a mask due to a medical condition.

We are not allowing any exemptions to the mask mandate. Convention badge refunds are available for those that cannot attend due to this requirement. Refunds are available until one week prior to the event. After that time, anyone who is unable to attend may roll their badges to the next convention.

Is MEPACON allowing guests to refund or rollover their badge costs?

If you are unable to attend due to the COVID policies put in place, then MEPACON is allowing for you to request a full refund or rollover to the next convention. Refunds are available until one week prior to the event. After that time, anyone who is unable to attend may roll their badges to the next convention.

I am bringing my child with me, are they required to wear a mask?

Children over the age of two are expected to wear a mask.

Am I able to walk around with snacks/drink and not wear a mask?

You are not expected to wear a mask and drink/eat at the same time, we do expect that you be considerate of your fellow attendees and wear the mask when not actively eating or drinking.

Will masks be available at the event?

Attendees should plan to bring their own masks. If somebody forgets a mask, however, disposable masks will be available at the check-in desk.

Do minors need to be present to pick up badges?

Any adult who purchased their child’s badge is authorized to pick up their child’s badge at the same time without the child being present. Proof of negative COVID test within 72 hours or vaccination is required for all badges being picked up.

Will there be hand sanitizer available?

Yes. We are working to ensure that there is additional hand sanitizer readily available throughout the convention site.

Do other adults need to be present to pick up badges?

In past conventions we allowed for a single adult to pick up other adult’s badges that they were associated with. However, we are requiring that each adult pick up their own badge to show proof of a negative COVID test within 72 hours or vaccination.

Is the hotel allowing guests to refund their room costs?

Yes, if the hotel receives a two week notice of your cancelation.
